Helpful Search Hints

USING THE WILDCARD (%)

My supplier name is General Contracting Incorporated. Is there any easy way to see if the vendor is already in the RIAS system?
Yes. Keep in mind first that standard naming conventions will apply. For example, if the standard naming convention calls for the word "incorporated" to be input into the system as "Inc", searching by the full word may not return you a result.

However, you can search either the inquiry screens or within Internet Procurement. Use the wildcard (%) to help with your search. For example, you may input "%General%Contracting%" and that tells the system to look for any supplier whose first name is General and that Contracting immediately proceeds the word General.

Inquiry Screens and Search Tools

To get to the inquiry screens, logon to RIAS using your NetID and password. Click on RU Internet Procurement and you will then see a list of inquiry links on the right-hand side of your screen. Click Here for a printable help guide.

FAQs

How can I add a supplier to the RIAS system?
Use the "New/Update Supplier Request Form" located on the forms repository.

Where should New/Change Supplier forms be submitted to?
Please read the instructions on the form carefully. If it's a check request, student or employee, the request should be submitted to payables@rci.rutgers.edu. All other requests may be submitted to procure@rci.rutgers.edu.

I see my supplier is in the RIAS system but I don't see the site I need. How do I get my site into the system?
Use the "New/Update Supplier Request Form" located on the forms repository. Be sure to check the box marked "change to existing supplier request. It is additionally helpful if you can indicate the supplier federal identification number or social security number.

NOTE:
There could be multiple sites used for the same supplier and there doesn't need to be a NEW supplier added to assign a new site to an existing supplier.

Before starting a requisition, is there a place I can go to see if the supplier is already in the RIAS system?
Yes. You can use the inquiry screens or Internet Procurement. Click Here for a printable help guide.

What is a Standard Naming Convention?
This is method of standardizing the way suppliers are input into the RIAS system. All Supplier Maintenance Administrators from Purchasing and Accounting are required to follow standard naming conventions.
